Guide to Good Business Communications
Communication is the key leading to success in any business. Even if one is trying to sell products, convince customers or adopt certain techniques, good communications usually makes a big difference between success and failure. Good communication means the language should be precise even it is in speech or writing form. Precise English in writing or speech becomes enjoyable to read or listen to it. Good communication in business is vital because it leads to the success in the business. Therefore, managers or leaders are required to develop good communication skills because it will enable them to achieve their objectives. Therefore, good business communications requires proper planning, precise, clear language and should have a driven purpose.
Whatever the form of communication, one need to plan in advance whatever he or she is going to communicate. The plan should be in summary form but not in detail form because of difficulty in ascertaining the accurate conversation one is going to develop. It is not necessarily to plan for the information to be presented because the conversation sometimes may be different depending on the kind of customers one may meet. In written communication, it not necessarily to spend the whole time on routine letters but some planning will do better (Chandrasegaran and Schaetzel, 2004). Actually, planning would be meaningless if not all the people have received the information.
In addition, the most common method of communication used in business is spoken and written, this depends on the kind of people one is communicating with, and it depends on different reasons. Moreover, good communication matters a lot because business organizations are composed of people. Bennie (2009) points out that communication is everything when it comes to business matters. In the global market, communication through the Internet should be precisely written and English should be grammatically correct. This is because any mistake made will alter the information and this means loosing customers.
Emerson (2005) points out that having a driven purpose in business communication is one way of achieving success. One needs to keep in mind that writing or talking to someone requires one to pass across relevant information. This should include both the subject matter and the people you are addressing that information. For instance, if there are problems or mistakes made in business, managers should look for a purpose of explaining the problems and provide the solutions to the problems. It is easier for one to develop a speech if he or she has a driven purpose. This is crucial because it will help one to overcome unnecessary problems arising within the business entity.
Consequently, Bennie comments creating objectives to be achieved is vital in business. After developing, a purpose, there is need to create in mind on what to achieve in the business. However, achievements should not be confused with the purpose. In order to define the objectives to be achieved, the business plan should have a mission and vision. The mission acts as a road map for achieving the visions. These are essential because they will enable the mangers to achieve their goals and objectives (Bowden, 2004). In any business, creating a mission is vital because it is one way of planning of what to achieve.
Choosing proper and right language is another guideline to good business communication. Once one understands his or her audience, it is easier to decide on the kind of language to use in business communication. Language is essential in any business because of diverse culture in the society. The language should be formal or informal depending on the audience and it should be simple and complex. The economy of the world is becoming increasing global. Organizations may want to sell their products overseas and thus language is vital when considering joint ventures or marketing products. Therefore, managers should learn how to communicate with different clients and they should avoid complicated language because the audience may not be able to understand the information.
Nevertheless, the reasons for communicating in business are to pass information and persuade customers to buy products or use a service. There are wide ranges of situations and to cover them, one needs to use a wide range of diverse methods and styles. Communication in written or in spoken depends on the circumstances. For instance, it is difficult to hold a business discussion through letters. In addition, Business English should be formal and conversational and it should be brief as possible (Forsyth, 2006).When communicating about business especially in written form, it is important to avoid redundant and meaningless phrases.
Considering credibility in relation to the audience and organizational environment is crucial. This is because the audience and organizational environment may have an implication to the business if they are not well communicated. After this, then information should be assembled starting from the actual planning processes. This should be done in a logical way in order to avoid misunderstandings. Bowden (2004) reveals that business managers should be able to present reports in an organized manner in order to enable their audience to understand the information easily. Moreover, when assembling the information, the information in writing or speaking should be made quite clear to avoid misinterpretations by the audience.
In conclusion, good business communications requires proper planning, precise, clear language and should have a driven purpose. There is need to plan well and have a driven purpose because it is one way of achieving success in business. Moreover, creation of achievable objectives is vital in business. This will enable the managers to develop a purpose basing on those objectives. In addition, choosing proper and right language is another guideline to good business communication. This will enable business managers to communicate well across the globe. Considering credibility in relation to the audience and organizational environment is crucial thus achieving success in business.
